About Art in Site:

Art in Site is a multi-award-winning studio, comprising artists, designers, and strategists. We’re a super-friendly team of 6 with shared interests in art and culture. Monday mornings are a chance to share tips and stories on the latest exhibitions, interesting architecture, getting out into nature, great food and cycling to name a few.

We design healthy environments – places to heal, learn, explore, thrive, and connect – through integrated art & interior design.

Our work life requires a lot of coordination. In a given week, we might designing to tight deadlines, installing artwork for one project, delivering a lecture at a conference, and travelling to meet a team of doctors at a new hospital. Typically, we work alongside clinical staff & architects on capital build construction projects valued up to £500m, with art budgets up to £1m.

We’re looking to hire a Studio Manager to help bring coordination and forward-focus to all our efforts; our biggest goals are increasing team efficiencies and productivity, studio profits and expanding our client network.

About the job:

  • 5 days a week - 25 hours a week (start and finish times to be negotiated individually)
  • Split between WFH and working from our studio in Vanguard Court, Camberwell

The Studio Manager tends to wear a few hats at Art in Site. The job will require you to:

  • Staying in close contact with clients and the rest of the AiS team
  • Be the first point of contact for incoming calls and new project enquiries
  • Manage our studio resources together with the Directors and Project Manager
  • Assisting with managing and creating budgets to support our Project Manager
  • Help project teams keep track of project tasks using our software Wrike
  • Seek freelance support when projects require additional resource
  • Agreeing payment schedules together with the Finance Director, Project Manager and Directors
  • Manage studio emails
  • Plan and run the weekly meetings
  • Manages studio and teams calendars (Google cal)
  • Keeping track of key project dates and event dates
  • Update and manage the CRM in Wrike
  • Manage project invoicing and incoming bills on Xero
  • Manage studio service providers and subscriptions
  • Managing health and safety requirements, and keeping studio DBS checks up to date
  • Provide HR support to the team
  • Manage annual leave for the team
  • Plan and organise office socials once a month (exhibitions / drinks)

Experience required - Ideal candidate:

  • Minimum 3 years of active experience in a similar role (furlough time to be excluded)
  • Methodical and organised - able to deal with timelines, resource and scheduling - a can-do attitude
  • Experience working in creative teams - understanding their approaches to working and delivering projects
  • Friendly and approachable and able to build strong rapport with colleagues
  • Can navigate client team politics respectfully - experience in managing client / production relationships
  • Proficient in Microsoft Word / Excel / Outlook, Xero or similar accounts software
  • Basic Adobe knowledge preferable
  • Has experience using CRM and project management software (preferably Wrike)
  • Has experience managing studio finances
  • Mac literate
