Job Description

About Aha Agency

We’re Aha, a challenger agency built to do things differently. Strategy-led, insight-obsessed, and creatively sharp, we work with charities to drive genuine change. We're not here for fluff, and we don’t do business as usual. We're here to help organisations unlock their breakthrough moments – the shifts in thinking and action that actually move the needle.

We’re a tight-knit team of ambitious, creative people who take our work seriously – but not ourselves.

The Role

We’re looking for a calm, capable, quietly brilliant Project Coordinator to keep our projects (and people) flowing. This role sits at the heart of our team, helping us deliver powerful creative, strategy, and innovation projects that genuinely make a difference.

You won’t be writing the strategy or leading the pitch - but you’ll be the reason it lands on time, in shape, and without anyone dropping the ball. From scheduling and note-taking to planning tools and file hygiene, you’ll make sure nothing slips through the cracks. You’ll be the safe pair of hands our most ambitious work needs.

What we’re looking for

You’re the kind of person who:

  • Takes pride in ticking things off (and loves making the list to start with)
  • Is dependable, focused and quietly confident
  • Feels responsible for the whole team’s success, not just your own role
  • Can keep your cool when projects get messy, fast-paced, or weird
  • Spots the gaps, chases the things, follows through, without being asked twice
  • Brings energy, empathy and attention to detail in equal measure
  • Can wrangle calendars, timelines, tasks and files without breaking a sweat
  • Is curious about purpose-led work - even if you’re not the one doing the big thinking

What you’ll do

  • Own scheduling. Planning, meetings, agendas, links, and follow-ups
  • Review project calls and capture and setup actions and outcomes
  • Use (and ideally already know) Streamtime to plan, forecast and track work
  • Keep project files, decks, trackers and timelines tidy and up to date
  • Flag risks and missed actions early and chase what needs chasing
  • Format slides, update templates and help prep delivery materials
  • Be the go-to person for “where are we with that?”

What you’ll bring

  • Experience in an admin, coordination or support role (agency/charity a bonus)
  • Confidence using digital project and planning tools and ideally Streamtime (or knowledge of Streamtime and a readiness to learn).
  • A reputation for being thorough, reliable, and ahead of the game
  • Strong written and verbal comms, as you’ll often be the one joining the dots
  • Kindness, calm, and a team-first mindset

Why Aha?

  • A chance to work with a brilliant, ambitious team doing genuinely meaningful work
  • Loads to learn – we’ll show you the ropes of a dynamic, purpose-led agency
  • Flexibility built on trust – we’re remote-first and outcome-focused
  • Clients that actually want to make change happen
  • No egos, no fluff, just good people solving interesting problems

What’s in it for you

  • A full-time salary of £27,000–£32,000, depending on experience
  • A chance to be part of a small, brilliant team doing meaningful work
  • Space to grow, this could be a stepping stone into project management, operations or delivery strategy
  • Proper flexibility, we are a remote-first team who trust each other and get together four times a year
  • Great people, interesting problems, and clients who genuinely want to make change happen

You and Us, Together

At Aha, we work with brilliant, curious people who care about the work they do and the difference it makes. You’ll join a small, supportive team that thrives on good energy, meaningful collaboration, and a shared belief in purposeful, powerful work.

This full-time role is designed to offer flexibility while keeping you at the heart of impactful, creative projects. We’re open to shaping hours and ways of working that fit well for the right person.

How to apply

email jess@ahaagency.uk

Please share your CV, any key information on why you would be a great fit and also if you have experince using Streamtime.
