Job Description

We are looking for an Account Manager who combines exceptional client service and communications with rigorous project management. Working exclusively with luxury travel destinations and clients, this person will create clarity, momentum and trust across all of our creative projects including branding, film production, custom publishing and digital design. You will report directly into the leaders of the business.

About Pixie

Pixie is an independent creative agency working across strategy, branding, film, digital and publishing. We are a small, experienced, highly collaborative team, and our work often moves between disciplines: a strategic challenge may result in a new brand, a website, a coffee table book or magazine, a film, a marketing campaign - or frequently, a comprehensive programme involving all of these specialties.

Our clients operate in high-end, international environments including superyachts, luxury travel, hospitality, private islands and resorts. Relationships are long-term and trust-based. We may act as a creative agency, production partner, strategic consultant and special-projects team depending on client needs.

Our work is defined by thoughtful and robust strategy, impeccable creative standards, meticulous craft and clear commercial purpose. The Account Manager’s job is to protect and facilitate all four.

We have very high standards, and we deliver for our clients, and while that applies to all work, it also applies to the experience of working with us. Even if we do say so ourselves, we are a lot of fun to work with!

The role

The Account Manager is the connective tissue between our clients and Pixie’s strategy, creative, design, film, editorial, digital and production teams.

You will own a portfolio of retained and project-based accounts, turning conversations into clear briefs, plans, decisions and deliverables. You will keep clients informed, help the team focus on the right work, and make sure scope, financial budgets, critical paths, approvals, files and next steps remain visible, controlled and well communicated.

This is not a role for someone who simply takes notes and passes messages. To be successful at Pixie, you will anticipate what is needed, asks the question nobody has answered, spots risks before they become problems, guides clients towards decisions and give the creative team the space and information needed to do exceptional work.

What you will do

1. Lead client relationships

  • Become a trusted, informed day-to-day contact for a portfolio of clients.
  • Understand what makes each client’s business tick — their culture, stakeholders, audiences, priorities, sensitivities and definition of success — not just the immediate deliverable.
  • Build strong relationships across client organisations and specialist partners.
  • Communicate clearly, warmly and confidently, adapting your style to different personalities and levels of seniority.
  • Give proactive updates before clients need to ask and respond quickly when priorities change.
  • Manage sensitive and confidential information with discretion, particularly on private-client, yacht, resort, acquisition and production work.
  • Represent Pixie professionally at all times, including during travel, events and on-location productions.

2. Turn ambition into an actionable brief

  • Lead or support discovery, kickoff calls and workshops.
  • Translate complex or incomplete conversations into a concise brief covering the business challenge, objective, audience, scope, deliverables, decision-makers, budget, timing and success measures.
  • Test assumptions and resolve ambiguity before creative work begins.
  • Make the requested client decisions explicit—for example, identifying exactly which route, message, typography, colour, structure, format or production approach needs approval.
  • Work with Pixie’s strategic and creative leads to ensure the recommended response solves the underlying problem rather than simply fulfilling a list of outputs.
  • Keep an up to date, accurate record of agreed scope, exclusions, dependencies and client-supplied inputs.

3. Build and maintain the project plan

  • Create the project structure in Notion using Pixie’s established system (prior knowledge of Notion is not a requirement, training will be provided, but the successful candidate should have prior experience of using online project management systems and/or using AI to optimise workflows).
  • Break the scope into clear stages, milestones, owners, dependencies and approval gates.
  • Keep project statuses, tasks and critical paths current so the team can understand what is happening without relying on another status meeting.
  • Coordinate internal kickoffs, daily check-ins where useful, weekly reviews and client calls.
  • Prepare agendas that drive decisions rather than simply report activity.
  • Proactively manage project schedules by anticipating holidays, travel, production windows, print proofing, development lead times and external supplier dependencies.
  • Maintain orderly links and files across the Pixie digital ecosystem which currently comprises of Notion, Slack, Teams, Dropbox, Pitch, Figma, We Transfer, Adobe, Microsoft Office & Google suites, and review platforms including Frame.io.

4. Create momentum and accountability

  • Capture every meaningful action with a clear owner and deadline.
  • Review AI-generated meeting notes and tasks for accuracy, correcting names, context, assignments and dates where needed.
  • Circulate concise notes and decisions promptly, then ensure actions are linked back to the relevant project.
  • Chase constructively and escalate intelligently - internally and with clients - without passing on a problem without potential solutions.
  • Identify blockers early, propose a route through them and contact the appropriate senior lead immediately when an issue arises.
  • Maintain continuity when a team member is away by making sure decisions, current work and next steps are properly documented.

5. Protect scope, budget and commercial health

  • Understand the proposal, fee, resource assumptions and included deliverables for every project.
  • Track planned versus used time, supplier costs, production costs and remaining budget with the relevant Pixie lead.
  • Maintain transparent scope trackers, particularly on long, evolving brand and digital programmes where time and budget are fixed but priorities may change.
  • Explain the impact of new requests on timing, cost, quality or other deliverables before the work is commissioned.
  • Prepare estimates, change requests and revised schedules with clear assumptions.
  • Ensure supplier quotes, expenses and invoicing information are complete and submitted on time.
  • Never allow a project to drift silently beyond scope or budget.

6. Support excellent creative work

  • Give the creative team a clear brief, the right context, realistic timings and consolidated feedback.
  • Schedule internal reviews before client presentations so work is coherent, proofed and ready.
  • Quality-control decks, copy, artwork, films and delivery packages for accuracy, completeness, spelling, naming, links, formats and agreed outputs.
  • Protect the rationale behind the work while remaining open to useful client input.
  • Help clients give focused feedback and distinguish personal preference from strategic requirement.
  • Prevent uncontrolled review cycles by agreeing who can approve, what is being reviewed and when feedback is due.
  • Understand the practical differences between branding, editorial, print, digital and film workflows—including proofing, development, licensing, releases, post-production and versioning—well enough to manage them responsibly.

7. Report with clarity

  • Provide a concise weekly update for active accounts covering:
  • - work completed;
  • - decisions made;
  • - blockers and risks;
  • - work planned next;
  • - budget, scope or delivery changes;
  • - relevant project statistics or outcomes.
  • Maintain a clear view of priorities across accounts and flag resource conflicts early.
  • Prepare client-ready decks, project boards or status views where transparency will improve the relationship.
  • Close projects properly: confirm acceptance, organise final files, record delivery dates, capture learnings, support invoicing and identify sensible next opportunities.

8. Grow accounts thoughtfully

  • Notice opportunities where Pixie can create genuine value across strategy, brand, film, digital, publishing or production.
  • Develop account plans with senior leads, including relationship goals, upcoming client moments, risks and potential projects.
  • Bring client intelligence back to the team so Pixie can be proactive rather than reactive.
  • Help turn successful delivery into long-term relationships, referrals and relevant case studies—always respecting confidentiality.

A strong Account Manager will help the team follow a simple, consistent operating model:

1. Understand — clarify the business problem, stakeholders, desired outcome and constraints.

2. Brief — document objective, audience, scope, outputs, owners, budget, timings and approvals.

3. Plan — create workstreams, milestones, linked tasks, dependencies and a critical path in Notion.

4. Kick off — align the internal team, confirm responsibilities and identify missing inputs.

5. Run — maintain momentum through purposeful check-ins, accurate notes, disciplined follow-up and early risk management.

6. Review — consolidate feedback, protect the idea and secure clear stage approvals.

7. Deliver — quality-control every output, organise files and confirm completion.

8. Learn and grow — review performance, close commercial administration and identify what should happen next.

What success looks like

In the first 90 days:

  • You understand Pixie’s active clients, services, people, partners and current project portfolio.
  • You have clarity on how to use and the confidence to drive Pixie’s internal systems and processes.
  • Every account you own has an accurate brief, visible status, current critical path, linked tasks and a clear next decision.
  • Clients know who to contact, what is happening and what is required from them.
  • Internal teams feel well supported.
  • You have forged a strong relationship with senior leadership enabling risks, scope changes and budget issues to be raised early with options.

After six months:

  • Senior team members spend less time chasing actions or reconstructing project status.
  • Projects progress with fewer avoidable delays, missed approvals and uncontrolled review rounds.
  • Forecasts, estimates, supplier commitments and invoicing inputs are reliable.
  • Clients describe Pixie as proactive, calm, transparent and highly dependable.
  • Creative teams feel supported rather than managed around, and the quality of the work remains high under pressure.
  • Account knowledge is documented well enough for another team member to step in when necessary.
  • You are identifying well-judged opportunities to deepen client relationships and expand useful work.

Who we are looking for

Essential

  • Demonstrable account management or integrated project management experience in a creative agency, design studio, production company or similarly high-service environment.
  • Experience running multiple projects and stakeholders simultaneously from brief to final delivery.
  • Excellent written and verbal communication, including concise briefs, agendas, status updates and client emails.
  • Strong commercial awareness: comfortable discussing estimates, scope, resource, supplier costs and budget implications.
  • Meticulous organisation and attention to detail without losing sight of the strategic objective.
  • Confidence challenging ambiguity, poor process or unrealistic expectations constructively.
  • Calm judgement under pressure and a habit of arriving with solutions.
  • Comfortable working with senior clients, creative specialists, freelancers and external production partners.

  • Luxury, hospitality, travel, superyachts, property or founder-led client experience.
  • Integrated brand programmes spanning identity, print, digital, content and launch activity.
  • Editorial or premium print production, including flat plans, proofing and printers.
  • Film or content production, including treatments, schedules, review cycles, licensing and multi-format delivery.
  • Retainer accounts and long-term programmes with evolving priorities.
  • Notion-based project management and confidence using Slack, Teams, Dropbox, Pitch, Figma and Frame.io or comparable tools.
