Role Overview

You are the operational heartbeat of our Project Management function. You will manage a high-volume pipeline of complex, high-stakes projects simultaneously — not just tracking timelines, but orchestrating global supply chains, including Far East manufacturing and outsourced service partners, to ensure every gifting experience is delivered flawlessly.

You act as the primary internal engine, translating client needs into tactical execution while keeping the Head of Project Management and internal stakeholders fully informed of project health, risks, and critical delivery milestones. While Commercial Account Managers own the growth and commercial relationship, you own the entire delivery relationship for your assigned projects — the rhythm and execution of the client experience, delivered to our highest standard.

About You

  • The Global Operator: you've managed Far East manufacturing relationships for custom, bespoke production — not just reordering a standard SKU — and you understand the realities of global freight, customs, and import/export timelines.
  • The Production Owner: you've run the full custom production lifecycle yourself: brief, concept, sampling, approval, mass production, shipping — and you know how to troubleshoot when something in that chain breaks.
  • The Plate Spinner: you're the safe pair of hands — shielding the internal team from reactive noise while giving clear, early-warning updates to the people who need them, and managing client expectations with transparency and reassurance.
  • The Standard Setter: you’ve managed and developed a team of 2+ people and know how to set the tone for an entire function. You lead by example, willingly sharing your knowledge, skills and experience to raise the capability of those around you — setting clear expectations, giving direction and creating a team that takes ownership and delivers.

Key Responsibilities

1. Global Supply Chain Management

Act as the primary interface for Far East suppliers and outsourced production partners, ensuring production schedules align with global fulfilment requirements and managing shipping and logistics risks.

2. Custom Production & Operational Execution

Own the full custom production lifecycle — from concept and sampling through to mass production — bridging the gap between strategy and execution, and ensuring every department (Production, Creative, Logistics) has exactly what it needs to deliver.

3. Quality Assurance & Risk Mitigation

Proactively identify points of failure in complex supply chains — manufacturing delays, customisation defects, logistics bottlenecks — and implement mitigation strategies before they impact final delivery.

4. High-Volume Project Orchestration

End-to-end management of a high volume of concurrent projects, maintaining meticulous control over scope, schedule, and quality from kickoff to final fulfilment.

5. Internal Visibility & Reporting

Serve as the single source of truth for project status, providing the Head of Project Management and commercial stakeholders with clear, actionable updates on bottlenecks, financial variances, or delivery risks.

6. Client Communication

Act as a strategic point of contact for complex client delivery queries, managing expectations with a focus on transparency and reassurance without compromising the internal production workflow.

Requirements & Qualifications

Must have

  • Custom Production Experience: direct experience managing Far East manufacturing relationships for custom/bespoke production — not just reordering a standard catalogue item, but managing new tooling, sampling rounds, and one-off spec changes through to delivery.
  • Full Lifecycle Ownership: proven ability to manage the complete custom production lifecycle — brief, concept, sampling, approval, mass production, shipping — and to troubleshoot when something in that chain breaks.
  • Supplier Relationship Management: comfortable owning supplier relationships directly, including negotiating timelines, pushing back on delays, and resolving quality issues, rather than just monitoring a tracker someone else owns.
  • Team Leadership: You lead from the front and set the tone for best practice. You're experienced in team management and know what it takes to support a team to thrive, running 1-1s, setting SMART goals, being the point of call for questions, concerns and mentorship. Your guidance and experience is second to none with the skills to help motivate and inspire those around you.

Nice to have

  • High-Volume Experience: experience managing a high-volume, multi-project pipeline at once.
  • Industry Background: experience within gifting, merchandise, or a comparable creative/manufacturing vertical.
  • Systems Proficiency: experience with project management tools (we use ClickUp) and ERP systems (we use Unleashed).
  • Costing & Margin Exposure: some experience managing costs and protecting margin through the production process.
  • Conflict Resolution: the confidence to push back on suppliers or internal teams when necessary, and the diplomacy to manage stakeholders when project requirements change.
  • Mindset: a team player who thrives in a fast-paced, collaborative environment where no two projects are the same.

Working Relationships

You'll report into the Head of Project Management and work closely alongside our Commercial, Creative & Design, Fulfilment, and Logistics teams to operationally deliver the demands of the business. Collaboration is core to how we work at Bespoke-ly.

Contract

Full time, 40 hours per week, Monday - Friday, based in our London office.

Salary

£45,000 - £52,000, based on experience.
