Job Description

HighSpirit is an independent creative brand agency based in Brighton, working with clients worldwide across the premium lifestyle space. Our portfolio spans drinks, sports, hospitality, and technology, delivering brand strategy, design, and marketing solutions — from original identities and campaigns to content and experiential activations.

We are seeking an intuitive, proactive Junior Project Manager to support our Founder Directors across creative, operational, and administrative functions. This is a highly visible role with genuine scope for development in a growing creative agency.

The Role

Working closely with the two Founder Directors and wider creative team, you will help drive operational efficiency, project delivery, and administrative excellence across the studio. Acting as a trusted right hand, you will manage workflows, priorities, and resourcing to ensure the agency operates smoothly and efficiently.

This is a varied, hybrid role combining project management, resource planning, and executive support. It would suit a junior-level candidate. Prior experience in project coordination, studio management, or executive assistance within a creative or cultural environment would be a bonus.

Key Responsibilities

Project & Resource Management

• Work closely with the Directors to plan, allocate, and monitor staff time across all project stages

• Create project estimates, budgets, scopes of work, schedules, and timelines for new and ongoing work

• Manage the studio team planner and job timekeeping systems

• Coordinate regular team meetings and resourcing check-ins to ensure workloads are balanced and projects remain on track

• Schedule key reviews and milestones, providing clear and consistent project status updates

• Collaborate with finance and management teams to align billing schedules with project milestones

• Support the Managing Director and Creative Director in forecasting future resourcing needs across the permanent staff and freelance networks

Executive & Director Support

• Act as a key point of contact for internal teams and external client stakeholders, maintaining a professional and diplomatic approach

• Support in management of Director diaries, scheduling, and priorities to maximise productivity across the agency

• Coordinate client meetings, travel, ensuring all logistics and documentation are handled to a high standard

• Prepare correspondence, identify priorities, and resolve or escalate issues to maintain momentum and reduce risk

• Handle confidential and sensitive information in line with GDPR and internal standards, including budgets, contracts, and employee records

• Support Directors with administrative processes including expenses, leave tracking, hospitality, and meeting logistics

Studio Operations, Systems & Culture

• Ensure the studio runs efficiently from an operational and administrative perspective

• Help maintain a comfortable, well-organised, and professional working environment

• Manage office supplies, post, equipment, and meeting room preparation

• Oversee holiday calendars to ensure balanced workloads across the team

• Occasionally coordinate social, learning, and team-building events to support a positive studio culture

What You’ll Need to Succeed

• Some experience in a Project Manager, Studio Coordinator, Personal Assistant, or similar support role

• Proven ability to support senior leaders with sound judgement and discretion

• Strong organisational and prioritisation skills in a fast-paced environment

• Excellent written and verbal communication skills, including drafting correspondence

• Confidence working with senior stakeholders and external clients

• Some proficiency in Microsoft Office and Outlook; familiarity with creative tools such as Adobe Creative Suite is a bonus

• Exposure to accounting or bookkeeping software (e.g. FreeAgent or Xero) is desirable but not essential

• Availability to be in the office in Brighton. We will offer hybrid flexibility after probation, but please note that this is not a remote role.
