Job Description

We’re looking for an experienced, commercially minded Senior Resource Manager to take ownership of our resourcing function and bring structure, clarity and a sense of calm to a busy, fast-paced environment.

This is a highly autonomous, hands-on role, suited to someone who is confident operating as a team of one, comfortable making decisions and experienced in establishing effective processes and ways of working.

You’ll take the lead on how projects move through the studio, working closely with department heads and account teams to ensure projects are resourced effectively, commercially and sustainably.

We’re looking for someone who can see the bigger picture while staying close to the detail — anticipating challenges, confidently managing competing priorities and proactively finding solutions. You'll be a trusted partner to senior stakeholders, bringing the experience, judgement and confidence to challenge where needed, improve how we work and ensure the studio runs smoothly.

About Us

We design brands that redefine categories and culture. Otherway is a design and communications studio with offices in London and New York. We are experts in creating and transforming brands for a new generation, placing them at the heart of culture to connect with audiences in innovative ways.

Our work blurs the line between design and communications, combining bold conceptual thinking with exceptional execution to ensure that every interaction with the brand is meaningful and effective. Based in Primrose Hill, our 60+ person multi-disciplined team are all full of smart ideas and a shared purpose to help our clients and ventures succeed.

Responsibilities

  • Form a detailed understanding of the skills and capabilities of permanent members of the team
  • Own the weekly and longer-term resource plan across all live and upcoming projects
  • Lead weekly workflow meetings with account leads and department heads and allocate resource based on agreed scopes of work and available personnel
  • Confidently challenge account and department leads when resource requests are in conflict
  • Manage day-to-day scheduling across departments
  • Maintain a clear view of capacity, flagging overbooking and underutilisation. Work with account and department leads to propose and agree solutions.
  • Critically assess requests for Freelance. Once approved, source, book and onboard freelance talent.
  • Review all scopes of work before they are shared with clients, to ensure proposals align with available resources, and highlight any potential issues.
  • Manage internal resource and freelance budgets against agreed project scopes
  • Track team utilisation and help build longer-term capacity planning. Work with Finance and People teams to ensure team structure reflects ongoing needs of the business.
  • Implement and optimise resource management tools and workflows, including developing reporting to allow timely view of actual time, plus resource allocated vs budgeted fee.
  • Work with finance and account team to track and reconcile freelance/contractor costs

About You

  • 4–6+ years’ experience in a similar role within a creative/design agency or similar
  • Strong Project Management experience managing design projects in a similar business
  • A natural problem-solver who enjoys collaboration and lateral thinking
  • Self-starter, comfortable working autonomously
  • Highly organised and used to working in high-paced environments
  • Strong commercial understanding of project finances
  • Adept in studio resource management and scheduling
  • Comfortable navigating multiple stakeholders and deadlines
  • Excellent communication and negotiation skills
  • Calm under pressure with a sharp attention to detail
  • Proficient with resource planning tools
  • Inquisitive about how we can harness technology to improve processes
  • Confident working across project types — from brand to campaigns and digital
  • Comfortable leading meetings and rolling up your sleeves
