Studio/Project Manager

We are looking for a Studio/Project Manager to join our small team at Atelier Dyakova. Working closely with Sonya and three designers, you will be responsible for running the studio smoothly. This will include managing projects, creating and overseeing schedules and discussing strategy. The role is primarily administrative. Although you will not be required to oversee design projects, a good awareness of the field and a working knowledge of design tools such as the Adobe Suite would represent an advantage. This role is part time 4 days per week. The role is primarily in person.

Our approach is firmly rooted in conceptual and typographic experimentation developed through research with attention to tactile details.

Responsibilities

Studio management

  • General administration ensures the day-to-day business operations are running smoothly.
  • Keep the studio to a high standard and ensure all calls and visitors are taken care of
  • Manage post, order paper samples, and keep sample library organised
  • Maintain internal systems, working with the director to upkeep and improve processes.
  • Manage the studio’s shared calendars.
  • Order and maintain all office supplies and assist the Directors with other maintenance contractors
  • Update the studio’s suppliers list, build strong relationships with suppliers.
  • Administration of office printer, including supplies

Project management

  • Prepare estimates, contracts, project schedules and invoices using InDesign.
  • Manage invoicing
  • Communicate with clients, manage expectations and solve issues.
  • Manage external suppliers such as printers and developers.
  • Log studio receipts and expenses, preparing for bookkeeping.
  • Undertake occasional light InDesign tasks, such as inputting text corrections.

Marketing & New Business Assistance

  • Assist director with new business correspondence and administration.
  • Support with website and social media updates, for example, by drafting texts and discussing social media strategy

HR & Culture Assistance

  • Manage the cultural aspects of the studio, such as studio meals, drinks and outings.
  • Assist the director with staff, intern and freelance resourcing, contract administration and related paperwork.
  • Create and maintain the studio handbook and set up new starters and freelancers by introducing them to the studio setup.

IT & Tech Assistance

  • General upkeep and troubleshooting of the IT setup and software, coordinating with the studio’s IT consultants where required
  • Archive completed projects and maintaining server archive
  • Support with ordering new equipment and employee/freelancer set up

Skills & Experience

  • Educated to degree level and/or equivalent working experience (required)
  • 1–2 years experience of administration tasks or project management (required) in a graphic design studio environment (highly beneficial)
  • Project management skills, inc. creating Gantt charts (required)
  • Excellent communication, time management and mathematical skills (required)
  • Well-spoken, articulate and able to work with clients over complex emails (required)
  • Enjoy working collaboratively in a fast-paced studio (required)
  • Adaptable, keen, self-motivated, proactive and solutions focused (required)
  • Ability to represent Atelier Dyakova to clients, press and at relevant events (required)
  • Technical knowledge:
  • Mac OS including Mail, Numbers, Pages, Keynote (required)
  • Slack (beneficial)
  • Asana (beneficial)
  • Basic knowledge of InDesign (highly beneficial) and the rest of the Creative Suite (beneficial)
  • Knowledge of other languages, especially French (highly beneficial)
  • Knowledge of book print management/print processes, general graphic design and web design processes (highly beneficial).
  • Interest in graphic design and branding (highly beneficial)
  • Knowledge of contemporary creative studios (beneficial)
  • Experience in the cultural sector (beneficial)

Salary & Position

This is a freelance position. Salary is based on a daily rate to be discussed with the applicant and is dependent upon experience.
