Job Description
We are looking for experienced and highly organised project / account manager to lead digital video and photographic projects across our agency. This require someone who thrives under pressure, communicates with confidence across time zones, and can build and maintain robust project governance from day one.
You will own the end-to-end project lifecycles, from initial planning and resource mobilisation through to final delivery and client sign-off
Before we get into more specifics, let me tell you a bit about what we do and who we work with.
Grid Studios is a production company, photography studio, and talent agency based in Old Street, London. The production side has been running for nearly seven years and is best known for creating content for well-known brands such as Wella and Lucozade. While we still create content across various sectors, we specialise in hair and beauty, with professional haircare being where we have made a real name for ourselves. Our hair clients are household names such as Batiste and Babyliss, and we work with brands such as Fenty Beauty, L’Oréal & Aqua dell’ Elba with a couple of new wins in professional services industry. If you’re thinking you would like to get free drinks, we also work on creating social and campaign content for Ribena and Lucozade and do a lot of experiential content with our parents at Zeal. Professional services is where your time will be spent initially as we work to build out a great working relationship with a new client.
Your role
- Project Governance & Planning
- Establish and maintain a comprehensive project governance framework, including RACI matrices, escalation paths, and decision logs.
- Develop and own a detailed master project plan covering all phases: onboarding, production, QC, delivery, and client review cycles.
- Define and enforce project standards, workflows, naming conventions, and file delivery protocols from project inception.
- Identify and proactively manage risks, dependencies, and blockers, maintaining a live risk register throughout the project.
- Set up and manage project tooling (e.g. project management software, shared drives, tracking dashboards) to provide full visibility across the team.
Client Management
- Serve as the primary day-to-day point of contact for our clients, building a trusted and professional working relationship.
- Lead regular client status calls, steering meetings, and review sessions.
- Manage client expectations clearly and proactively, escalating issues early and presenting solutions rather than problems.
- Produce and distribute client-facing reports, status updates, and delivery dashboards on a regular cadence.
- Navigate cross-timezone working effectively, ensuring responsive communication during overlapping business hours with the US.
- Manage scope change requests formally, assessing impact on timeline and budget before agreeing to any changes.
Team Management
- Recruit, onboard, and day-to-day manage a team of video editors and QA resources, both employed and freelance.
- Allocate work across the team based on capacity, skill set, and project priority, adjusting plans dynamically as volumes shift.
- Conduct regular 1:1s and team check-ins to monitor wellbeing, performance, and workload balance.
- Foster a high-performance team culture with clear accountability, constructive feedback, and strong morale throughout a long-running project.
- Identify training or process needs within the team and coordinate solutions quickly to avoid production delays.
Production Oversight & Quality
- Oversee the end-to-end production pipeline for 1,000–5,000 video assets, ensuring consistent quality and on-schedule delivery.
- Work with QA leads to define quality standards and acceptance criteria aligned with client requirements.
- Monitor throughput and output rates, adjusting resourcing plans to maintain delivery velocity across the project lifecycle.
- Coordinate the review and approval process with the client, tracking feedback cycles and ensuring timely resolution of revision requests.
- Ensure all deliverables meet agreed technical and editorial specifications before client submission.
Financial & Commercial Awareness
- Track project budget against actuals, flagging variances early and providing regular financial reporting to senior leadership.
- Manage freelance resource costs and approval processes in line with agreed budget parameters.
- Support commercial discussions with the client where scope, delivery milestones, or billing are under review.
Your expertise
- Have 5+ years in a creative or production agency, with video or content at the centre
- Have experience managing high-volume output programmes, not just individual campaigns
- Have worked with corporate or professional services clients and know how to navigate large organisations, multiple stakeholders, structured approval processes, and the particular expectations that come with that territory
- Have genuine knowledge of the hair and beauty industry, the brands, the culture, the way content works in that space
- Have built or managed freelancer or supplier networks before, and understand what it takes to maintain quality at scale
- Are genuinely energised by client relationships, not just tolerating them between production tasks
- Are operationally rigorous without being bureaucratic, and calm under volume pressure
- Know what good content looks like and can articulate why
Compensation and information
- £55,000 – £70,000 depending on experience
