Job Description

The Front of House / Office Manager / PA role is the heartbeat of this agency. With exceptional attention to detail and a pro-active attitude, you will be integral in fostering an experiential culture, welcoming and energetic environment for the team and its clients through exceptional client care, efficient day-to-day running of the office and being a cheerleader for our employees.

For this maternity cover, we are looking for a positive and organised individual to manage front of house and office facilities along with administrative support for some of the executive team and essential team support in organising/diary coordination for creative reviews and account management.

PA responsibilities

• Acting as right hand to our EA/HR Manager so confidentiality and being perceptive, anticipatory, and nimble are of the utmost importance

• Managing Head of Account Management and Managing Director's calendars and syncing with rest of executive team

• Completing timesheets

• Ensuring expense reports are up to date and carrying out many ad hoc requests

• Supporting account management teams on key accounts with meeting requests and calendar management

Office Manager responsibilities

• Reviewing current health & safety practices - comply with fire safety standards, complete appropriate checks for training and administer any plans in case of emergency

• Implementing and monitoring COVID-19 rules and guidance while working from the office

• Monthly calls with building management and tenants

• Liaising with office vendors (cleaners, HVAC, etc) to carry out appropriate quarterly or annual checks and cleaning schedules

• Working with building management on any refurbs or changes to the office

• Overseeing everyday maintenance, working closely with finance to sign off on various invoices

Front of House responsibilities

• Managing phone lines, meeting room reservations, client and staff catering, general office supplies and team events/perks

• Acting as a liaison between employees and IT, acquiring tech for employees, managing mobile phone account and recording assets

• Credit card reconciliation for company card

• Instrumental to the morale of employees and will be positive, energetic and proactive, giving a lasting positive impression for clients and new starters by celebrating birthdays, work milestones, fun holidays, researching and executing positive health initiatives, theme days, etc.
