We are looking for a production and administration coordinator to join our team. This is a full-time role based in our London studio. Candidates ideally will have proven experience within the luxury interiors market and experience coordinating production pipelines. The purpose of the role is to efficiently coordinate the production of our artisanal fabrics and rugs. Candidates should have excellent organisational and data management skills and a keen interest in artisanal production methods.

Purpose of the Position

• Coordinate production of fabrics and rugs throughout the process from order to delivery

• Manage production calendars & delivery timelines

• Communicate production status liaising with suppliers, design team, sales teams, and clients

• Plan & coordinate the smooth & timely running of ARF production & delivery schedules

• Maintaining superb communication with suppliers & delivering excellent customer experience for clients

Key Day to day Responsibilities

Production

• Initiating production orders – raising PO’s & liaising with suppliers

• Coordinate & track multiple production pipelines across locations with varying timelines

• Planning and managing production schedules for ARF handwoven fabrics & rugs, & related projects

• Calculating and analysing costings

• Managing stock across locations, producing stock takes and replenishment

• Organise and file digital production records

• Organise, log and label physical samples of development and production sampling

• Coordinating UK and international shipments

• Communicating pipelines with design, sales, and clients

• Create production reports and analysis

• Researching, initiating & managing relationships with craftspeople & suppliers

• Quality control – detailed checking of samples & production, maintaining records, feeding back to artisans & suppliers

• Maintaining updated digital resources for sales and design teams

Customer Service

• Provide an excellent service to existing clients, nurturing long term client relationships

• Provide excellent communication to suppliers and clients by phone & email

• Preparing quotations, providing product information, order updates and sales related enquiries

• Issue sales invoices, coordinate payments, and create shipping documents

• Brand ambassador – educate & inform suppliers, clients and partners on ARF brand, collections, & projects

• Coordinate samples and returnables – liaising with clients, packaging, shipping, logging and

managing returns

Studio Roles

• Maintaining an organised and exceptionally presented studio environment for clients to visit

• Coordinate shipping & couriers – comparing & securing quotes, preparation of documentation, end to end oversight

• Processing orders - packing and shipping customer orders with careful presentation

• Receiving, logging, and re-packaging of rugs and fabrics. Unpacking, checking, record keeping, packaging - this entails handling of heavy rugs & fabric rolls

• Implementing tech solutions to streamline studio processes

• Sample management - monitoring sample stocks, labeling and reordering

• Manage offices supplies

• Coordinate timely shipping - post office/couriers/install teams

• Other duties as required

• Input into ARF social media channels

• Maintaining website - product catalogue &imagery, notifications

• Involvement in every aspect of tradeshows from initial planning, delivery, and follow up

Key Qualities

• Must have excellent organisational and numerical skills

• Personable and confident - charismatic, quick-witted, passionate, informative and helpful

• Energetic and positive, a natural communicator with exceptional written and verbal skills

• A skilled eye for detail and exceptional skills in managing data is essential are this role

• Ideally experience in managing production, data streams, and project coordinating

• Experience within the luxury interiors market is highly valued

• A passion for interiors, artisanal production, textiles and rugs is highly valued

• A knowledge of weave & artisanal rug making techniques is valued

• Confident to work independently, managing multiple tasks with varying timelines.

• Fantastic team player - we are a small team and everyone’s contribution has an impact on both the business and client relationships

• Excellent computer skills – spreadsheets, Microsoft Office, Google Workspace are essential. Good knowledge of Adobe suite, Illustrator, Photoshop & InDesign are highly valued. A working knowledge of Xero & Squarespace ideal.

• Essential to have strong understanding and experience in social media platforms – Instagram, Facebook, Pinterest

• Ability to be adapt to the changing roles within a growing small creative business

• This isn’t a design role, however the position requires an eye for & understanding of design & technical aspects artisanal textile & rug production methods

• This role will be physical requiring the moving, rolling, & packing of large rugs and heavy fabric rolls – an essential part of this roll
