About us

Designwerk is a proudly independent full-service creative agency based in Hoxton. With a portfolio of international clients spanning sports and entertainment, you would be joining a hardworking, welcoming and close-knit team.

We’re looking for an extremely well-organised Studio Manager to join the team and be the face of the studio. We are looking for someone who enjoys wearing many hats, pitching in and getting involved with all aspects of Designwerk life. The role is a mix of reactive and proactive; we are looking for a calm and collected individual who thrives in a fast-paced environment and can prioritise effectively.

About you

The right candidate will have least 4 years’ experience in a similar role and agency, with a real knowledge of how a busy creative studio is run efficiently. The right candidate will be reliable and dependable by nature, with an open and honest demeanor. You will need to be an excellent communicator and have the ability to be logical, calm and efficient in juggling your responsibilities.

Your skillset

o Basic Adobe creative suite skills.

o Excellent command of Excel is a must!

o Proficiency in Google Suite, Word and PPT.

o A solid understanding of the creative process.

o Highly confident in resource management, you are adept in forecasting project needs, problem solving and trafficking resource time to make the best out of everyone’s schedules.

o Super organized and unflappable.

o Adept at picking up new platforms, tools and systems, and comfortable training others to use them.

o Have a flair for managing and optimising processes, combined with an openness and adaptability to new ways of working.

o Experience with project reporting.

o Desire to promote community and culture of a company and become an advocate in this initiative

The role in detail

Resource management:

o Ability to collaborate with colleagues across the agency to build robust project resource plans, and think laterally about resource solutions on challenging projects.

o Proactive in checking in with project leads on live projects on a weekly basis.

o Identify and highlight issues in the flow of projects through the studio and ensure issues (eg people, speed, productivity, commitment) are resolved.

o Lead a weekly production meeting to manage the allocation and scheduling of resources across a team of 20 on all projects and initiatives, forecasting upcoming roles and skillsets that will be needed to join the team.

o Working alongside senior management, creating project-specific job posts and playing an active role in sourcing candidates - shortlisting, arranging interviews, and interviewing if needed

o Oversight into each project - Requesting insights from Project team on proposals/SOW/resource allocations

Studio Management:

o Play a pivotal role in the everyday studio support; assist team members with project requests, sourcing items, pulling together archive material, being aware of what is happening and when for all studio projects

o Managing general HR processes, escalating any queries or issues to the appropriate team member and liaising with our MD and HR consultancy for advice

o Onboarding staff and freelancers - issuing perm and freelance contracts, inducting new starters, monitoring the annual leave calendar, presenting and staff issues to the director

o Excellent judgement when interacting with different types of people face to face and over the phone (clients, visitors, interviewees, suppliers etc.)

o Coordinating client meetings; booking meeting rooms, presentation material, refreshments, any other requirements

o Keeping the team informed about any major project, pitch and new business statuses, and important upcoming events in the diary as required by the directors

o Responsible for implementation and monitoring of H&S and IT systems alongside senior management

o Collating staff timesheets from individuals and from the online system

o Working alongside the accounts team to keep track of petty cash, liaise on expenses and any queries they have

o Arranging regular travel for the director and senior team members; applying for visas, booking flights, hotels, transfers, creating itineraries.

o Office admin including answering the phone, collecting and sending post, arranging couriers, coordinating the studio calendar, replenishing stationery stock, keeping the studio looking tidy.

o Ad hoc support to all team members as required

o Organize regular company socials and monthly company meetings

o Maintain up to date information for employee handbook and employment policies

o Company and staff knowledge - Keeping up to date with each member of the team and checking in.
