Job Description

We are currently seeking a Studio Assistant and PA to join our tight-knit and creative team. The Studio Assistant and PA will play a key role in supporting the administrative functions of our studio and supporting the founder with PA duties. This position offers an exciting opportunity for someone with strong organisational skills and a passion for the arts. The role would hopefully progress to a Studio Manager role with experience.

KEY RESPONSIBILITIES:

PERSONAL ADMINISTRATION

· Work closely with Helen to assist with her daily responsibilities.

· Be the first point of contact for Helen – field all calls, letters and emails in a confident and articulate manner.

· Manage Helen and Studio’s calendar, scheduling appointments and organising diary entries

· Setting reminders for meetings, appointments and other important tasks

· Making travel and hotel arrangements personal or business related.

· Assist management of website and client database.

· Organisation of Staff Meetings and events alongside Studio Manager.

· Taking notes at meetings and helping to keep track of actions.

· Liaising with other members of staff and external parties such as clients and press enquiries.

· Drafting copy for press enquiries such as interview questions, quotes etc.

· Processing receipts and expenses each month.

· Assisting Helen with any administration pertaining to her artworks such as shipping, framing, photography etc.

· Perform any ad hoc personal tasks.

STUDIO ADMINISTRATION

· Assist Studio Manager monitoring phones and studio email inbox on days they are not in the studio.

· Support Studio Manager with HR systems including staff contracts, annual leave, sickness etc covering on days SM not in.

· Work with SM and bookkeeper on monthly accounts related to Helen or artworks.

· Assist Senior Project Manager (SPM) in client and project correspondence.

· Obtain shipping quotations for projects and liaise with shippers on export of work.

· Assist SPM with weekly design and production meeting schedules.

· Filing of all client/project related materials – emails, design drawings etc.

· Assist SPM with client inspections.

· Help SPM manage CRM Database – inputting new clients and data. Prepare quarterly reports.

· Meet and exceed client satisfaction and endorse the Helen Amy Murray brand identity.

· General studio administration tasks as required.

PERSON SPECIFICATION

· The ideal candidate will have experience within a similar role in a creative industry.

· Confident and personable and someone who remains calm under pressure.

· Someone who takes pride in their work and the environment around them.

· A person who is practical and a problem-solver.

· Someone who is comfortable working independently and within a small team.

· The role is studio based and is not a remote position. Some hybrid working may be possible after successful completion of notice period but is not guaranteed.

· This role would ideally be Monday to Friday. Part-time and flexible working candiated are encouraged to apply. We will consider shorter days/school hours.
