Salary 30 - 40k pro rata

This is a newly created role and we are looking for an experienced Resource Manager to join our team, with experience working alongside Project Managers, Strategists and Creative Leads, as well as Founder/CEO and MD, to manage and maintain our internal and external resource booking system across A&P, Endless Vital Activity and Today Studios.

Reporting to the Operations Director and supported by our Project Director you will be an integral part of the creative studio. You will hold teams accountable for bookings and support the smooth running of the A&P studio.

General Responsibilities -

Maintain the open and ‘colleague-like’ relationship we already have and find ways of improving the ways we work together

Bring together relevant teams, as well as work independently, to problem solve and manage any issues through to a positive outcome

Share team updates (team leave, anniversaries, birthdays) at A&P’s Monday Morning Meeting along with any key team updates on a day to day basis

Maintain visibility of holidays and raise to the appropriate teams so they can manage any impact to their projects and reflect changes to A&P’s resourcing platform

Internal Resource Responsibilities -

Maintain and update team bookings on the resourcing platform, working alongside Project Director and Project Managers, Strategy and Creative leads to consider team shape and profile (taking into account team appetite, skillset alongside holidays, capacity etc)

Manage resource bookings with the appropriate teams for allocation across A&P, EVA and Today Studios, ensuring resourcing principles are being upheld and followed

Hold PM’s and Creative Leads accountable for their project bookings, cancellations, and changes

Act as a neutral party for any booking conflicts, raising issues and ensuring the PM’s and Creative Leads are aware and are communicating to find a resolution

Support New Business and, Press and PR and Ops with resource requests

Support Project Director in resource/capacity/budget planning/reporting

Management of External/Freelance Bookings -

Work with PMs and Creative leads to identify suitable external resource based on project requirement

Being the point of contact for all external bookings up to onboarding onto project (which will then be passed on to a PM)

Ensuring NDA/legal documentation has been agreed prior to onboarding

Maintaining external bookings on A&P’s resourcing platform

Ensure freelancer invoices are received, approved by the appropriate parties before payment is made

Manage day to day communications through the resource Slack channel for updates and questions, directing any to the appropriate team members

Manage Partners Contact list keeping information and feedback up to date for future external bookings

Partnership and relationship building with the agencies recruitment partners, and sourcing of new partners as required. Management of recruitment contracts and fees?

Skills, experience & personal attributes -

Previous experience working as a Resource Manager in a creative agency

Experience and skill at managing ambiguity, complexity, with an understanding of when to work with urgency/speed

Experience in generating freelance contracts and NDA’s etc

Knowledge in IR35 and legalities around outsourcing third party/external support

Excellent communicator and skilled negotiator with the ability to manage relationships

Strong leadership skills

Personable and flexible you can maintain focus, keep calm when working under pressure

9-Day Fortnight (every other Friday off, for nurture or to explore), our usual hours are 9.30-6pm, trialling hybrid working with everyone in the office Tuesday/Wednesday/Thursday.
