JOB SUMMARY

We are looking for someone with experience to join us as an Operations Manager (maternity cover) who can provide central organisational glue to a small, distributed team with proactive organisational and administrative support.

The Operations Manager works closely with the Directors and Consultants to ensure the smooth running of the SMN office and projects. Your time will be predominantly spent on the operational tasks which include day-to-day administrative and finance support, setting up projects for success and (where required) basic project management of smaller projects.

Office Administration:

  • Finance: Sending invoices and tracking payments, managing project expense claims, liaising with accountants.
  • HR: Assist in recruitment activity, onboarding new employees and freelancers, managing company benefits, tracking holidaying and sick leave, reviewing company policies.
  • Team support: Organising SMN team events, meetings and travel.
  • General operations: Managing company subscriptions and memberships including digital tools, workspace memberships, IT, phones and company equipment. Updating the company website and Linkedin.

Project Support:

  • New Business: Assist with any new business proposals and admin, leading on budgets and schedules. Work with Directors on forecasting and reviewing resources vs. income.
  • Planning and Tracking: Support the team to ensure the project is set up for success, issue contracts for freelancers and clients. Ensure projects stay on track and within budget by reviewing the team’s weekly timesheets.

Project Management:

  • Leading the delivery of production based projects.
  • Working closely with the project team including internal consultants and external partners to ensure projects run on time and within budget.
  • Establish and maintain relationships with appropriate client stakeholders, acting as the main point of contact for the project, sharing status updates and regular check-ins / meetings as required.

  • Interested in running a smooth and growing boutique consulting operation in climate and tech
  • At least a 2-3 year’s experience in a similar position.
  • Experience in working with finance and project management tools (Google Drive, Xero, Slack, etc.)

Desirable:

  • Project Management experience / a desire to develop project management skills

KEY DETAILS:

  • Contract: Fixed term contract
  • Dates: December 2023 - December 2024
  • Hours: Full-time or part-time (minimum 3.5 days per week)
  • Based: The Fisheries, London Fields. This is a hybrid role with most of our work being conducted remotely, but you will be expected to meet at least once a week in London Fields in our shared office space at least once a week.
  • Salary: £35,000 (pro- rata)
  • Benefits include: 25 days annual leave per annum, health insurance, cycle to work scheme. We also make time to enjoy monthly ‘Soul Food’ excursions as a team (e.g. time in nature, exhibitions, etc.)
  • Probation period: 1 month

Although this is a FTC, there may be an opportunity to join the team on a permanent basis following the end of the contract.
