Prodigy is looking for an enthusiastic and capable Studio / Office Manager to join our growing team in Battersea, London.

We make delicious chocolate that enables all of us to make healthier choices for ourselves and our planet every single day. Chocolate that contains no refined sugar or plastic, is low in natural sugar, plant-based, gluten and dairy free, compostable, biodegradable and palm oil free too.

We love chocolate. We’ve always loved chocolate, but somewhere along the road it lost its way. So, we decided to bring real chocolate back, only better.

The Role

In your role as Studio / Office Manager you will offer comprehensive administrative support across Prodigy HQ and some personal support to the Founders themselves.

This includes overseeing a wide variety of administrative tasks and schedules. Including planning and supporting trade shows and professional photoshoots, basic level bookkeeping, coordinating travel arrangements and providing support to the wider team.

You should be at ease working in a dynamic and adaptable setting, where you can proactively take the initiative and gradually shape your role. Additionally, you’ll be comfortable supporting the Founders directly when and if required.

Key Responsibilities

Organise meetings with team members.

Manage and assess incoming inquiries and requests, addressing conflicts and providing recommendations to maintain seamless day-to-day operations.

Manage email and respond where appropriate.

Support the office and assist with some personal appointments for the Founders.

Screen phone calls, enquiries and requests and handle them when appropriate.

Assist with projects and coordinate communication with relevant teams.

Prepare documents and ensure the team is briefed on all visitors and that individuals required at meetings are available.

Support with presentations.

Organise events and assist in the organisation and running of trade shows, exhibitions and photoshoots.

Organise incoming and outgoing post.

Organise internal events where appropriate.

Assist in the management of meetings, meeting preparation, agendas, logistics, distributing minutes, agendas and note-taking as and when required.

Deal with confidential matters with a high level of professionalism, discretion and confidentiality.

Organise trip itineraries (including travel and restaurant bookings).

Process expenses.

Minimum bookkeeping.

Assist the Founders with various projects (occasionally personal).

Assist with some management of personal tasks and schedules for the founders, which may extend to private errands.

Requirements

Exceptionally organised and a natural multi-tasker - expert at diary management.

Advanced IT skills including knowledge of Microsoft packages including Outlook, Excel, Word and PowerPoint.

High level of accuracy and attention to detail.

Discreet and professional.

Confident communication skills with the ability to operate under pressure and deliver to timescales.

Ability to identify problems and take own initiative in finding solutions.

Experience working as a studio / office manager.

Positive, vibrant and ready to take on anything.

Ambitious, resourceful and looking for opportunities to learn more.

Proven ability to build strong working relationships with a broad range of people.

Ability to work on own initiative without daily supervision.
