The Role
We are seeking an enthusiastic, creative, and highly organised Events Coordinator to join our Events team. This is a fantastic opportunity to contribute to a dynamic cultural space, supporting both our curated live programme and private hire events. You will also help curate the guest experience in our acclaimed Pollini restaurant, recently named the 21st best Italian restaurant in the world.
This is a hands-on role, ideal for someone with a passion for live events, hospitality, and delivering exceptional experiences.
Key Areas of Focus:
Ladbroke Hall Live Events: Support over 150 live events annually, from Patron banquets to intimate gatherings, large-scale concerts, and talks—celebrating creativity in all its forms.
Private Hire Events: Assist in delivering bespoke experiences for private and corporate clients who host celebrations, conferences, exhibitions, and more across our seven stunning event spaces.
Pollini Restaurant Curation: Work alongside the restaurant team to ensure the space reflects Ladbroke Hall’s signature style and ambiance.
Key Responsibilities:
🟡 Lead Management & Client Relations:
Manage incoming event enquiries via the Tripleseat platform, prepare proposals, and respond promptly to clients.
Conduct venue tours for prospective clients, ensuring a warm and professional experience.
Provide on-site client support during events, ensuring everything runs smoothly, building up to full event ownership
🟡 Collaboration & Coordination:
Orchestrate and liaise with the F&B team, gallery team, and marketing team to ensure all aspects of live programming and private events are delivered seamlessly.
Work closely with the restaurant General Manager to oversee the daily curation of the restaurant space—managing elements like flowers, lighting, music, and ambiance.
🟡 Event Preparation & Production:
Support event setup and breakdown, ensuring spaces are always client-ready and visually impeccable.
Assist with on-site production needs, artist management, and guest experience during live events.
💫 The Ideal Candidate:
We are looking for someone who is passionate about arts, culture, and live events, with strong attention to detail and a commitment to delivering exceptional experiences.
Experience & Skills:
Previous experience in events coordination, hospitality, or live event production.
Strong creative flair and a keen eye for detail—especially in space curation, such as flower arrangements, lighting, holiday decorations, and general ambiance setting.
Excellent timekeeping skills, with the ability to juggle multiple tasks, be proactive, and meet deadlines.
Strong interpersonal skills—confident in welcoming clients, artists, and performers with professionalism and warmth.
A team player who thrives on collaboration and enjoys working with people across multiple departments.
Proficiency with event management and ticketing platforms. Experience with Tripleseat and Peoplevine is a plus.
