Office Manager
Job Description
We’re looking for an Office Manager who will bring energy, organisation and initiative to us here at Found. We’re a fast-growing, ambitious business working globally, so this is a great opportunity to join at a key time in our evolution and play an important part in the team’s development.
This is a hybrid role that covers Office, PA, HR and IT tasks, meaning it will have a lot of variety and access to all parts of the business. It’s a full-time role that’s part studio-based, part remote and with flexibility on which days you’re in.
The role breaks down like this:
Office tasks
- Attending and welcoming to visitors and callers
- Maintaining a clean, tidy and welcoming space
- Managing and monitoring day-to-day office operations and suppliers (supplies, post, deliveries, cleaning, waste, utilities, security, alarms, building management)
- Maintaining Health and Safety and First Aid policies and processes
- Managing and maintaining studio calendar
PA tasks
- Managing MD’s diary and assisting with email and business admin tasks
- Arranging travel, accommodation and venue booking for Leadership Team
HR tasks
- Managing and logging of staff holidays, birthdays, sickness and overtime
- Managing and maintaining staff personnel records
- Posting adverts, managing applicants and organising interviews for all recruitment activity
- Managing the onboarding of new joiners
- Managing, growing and maintaining freelancer database
- Assisting with mentoring and internship schemes and activity
- Organising all staff events, including Christmas Party, Summer Holiday and Mid-Year Away Days
- Assisting with staff training organisation and logging attendance and feedback
- Assisting with Monthly 121 organisation and logging completion
- Assisting Annual Appraisals organisation and 360° Feedback gathering
IT tasks
- Arranging IT set-up for new joiners
- Managing all software licensing and purchases
- Managing all hardware requests, upgrades and purchases
- Placing orders and liaising with suppliers
- Assisting with project archiving

You will ideally have a background in some kind of office or studio administration role and are looking to make the step up to a broader role where you’ll have access to the whole team. You need to be fluent in Google Docs, Sheets and Slides, a good communicator and confident taking on new tasks, solving problems and learning fast.
